AN OPENING DAY ON BILLETTO

From the first booking to the last scan

This is how a typical day runs when every channel, gate and report sits in one system.

  • 01 · Before opening

Recurring sessions are already live, each with its own price, capacity and sales window. Reminders have gone out to today’s guests by email or SMS.

  • 02 · Doors open

Staff scan QR tickets on any phone, at several entrances at once. Volunteers use event keys, so nobody has to share a login.

  • 03 · During the day

Walk-ins buy at the desk on Billetto POS, from the same capacity as online. The scan-in tracker shows who has arrived and who is still expected.

  • 04 · After closing

The daily sales report lands in the inboxes you chose, and a follow-up email invites today’s guests back for another visit.

CASH FLOW

Fund the season before it opens

Staff, maintenance and marketing all need paying long before peak season starts. With Billetto Prepayment on the Growth plan, available to UK organisers, revenue from early sales becomes available 2 business days after each sale instead of after the event.

  • Fee: 1% + VAT, powered by Adyen
  • Payout schedule: daily on weekdays, weekly on Mondays or monthly on the first Monday
  • Standard payouts: after each event, with a receipt that breaks down revenue and fees

BEFORE AND AFTER

What changes when it all runs on one system

Without one system

  • Online shop, till and gate list each count capacity separately
  • Staff share one login, or wait for someone who has it
  • Arrivals are tallied by hand at the end of the day
  • Sales figures arrive as exports from different tools
  • Visitors leave, and nothing invites them back

With Billetto

  • Online, desk and partner sales draw from one capacity
  • Each role gets its own access, or an event key
  • The scan-in tracker counts arrivals live, per entrance
  • One daily sales report covers web and desk orders
  • Follow-up emails and memberships bring guests back

MEMBERSHIPS

Turn day visitors into members

Offer monthly, annual or one-off memberships with automatic recurring payments. Members get a membership QR code and codes that unlock member-only tickets, and you follow every active member on one dashboard.

Membership payments are paid out month by month, separately from ticket revenue, so recurring income is easy to track.

Reach visitors before, during and after their visit.

  • Reminders before the visit and follow-ups afterwards
  • Promo codes, group discounts and hidden member tickets
  • Billetto Advertising across Google, Meta and Billetto, paid only from tickets sold

How a quiet Tuesday gets busier

You send an offer to past visitors by email or SMS, track it with a promo code, and watch in live sales which dates fill up.

One view of the whole operation

Follow sales, arrivals and payouts across every date and channel.

  • Live sales by date, ticket type and channel
  • A daily sales report for web and desk orders
  • Payout receipts that break down revenue and fees

FAQ

Questions from event operators

Question not covered here? Book a meeting and we’ll walk you through it.

What does Billetto cost for event operators?

The standard fee is 3.99% + £0.90 per ticket, excluding VAT. The buyer pays it on top of the ticket price, or you include it in an all-in price. There is no setup cost or monthly fee, and operators selling more than 1,000 tickets a year can get custom pricing on the Growth plan.

Can we sell tickets at our admissions desk?

Yes. Billetto POS pairs your own phone, tablet or PC with an Adyen card terminal that takes cards, contactless, Apple Pay and Google Pay. Desk and online sales share one capacity. The terminal and printer are ordered through Billetto and arrive within 6–8 working days.

Can we run repeating sessions with limited capacity?

Yes. Recurring dates are set up in one go, and each ticket type has its own price, capacity and sales window, so morning, afternoon and evening sessions sell independently.

How do guests get in?

Staff scan QR tickets with the Scanner app on any Android phone, or with handheld scanners at busy entrances. Several entrances can scan at once, guests can be found by name, and the scan-in tracker shows live arrivals by ticket type or entrance.

Can volunteers and seasonal staff scan without a login?

Yes. Event keys let staff and volunteers scan or sell without logging in, and you choose whether they can see sales figures.

Do you support memberships and annual passes?

Yes. Sell monthly, annual or one-off memberships with automatic recurring payments and a membership QR code. Member codes unlock member-only tickets, and membership payments are paid out month by month, separately from ticket revenue.

Can hotels, tourist information centres and resellers sell our tickets?

Yes. Give each partner its own code or link to track which bookings they send, and let them follow live sales from their own view without seeing sensitive details.

When do we receive our ticket revenue?

Standard payouts are made after each event, with a receipt that breaks down revenue and fees. On the Growth plan, UK organisers can use prepayment, which makes revenue available 2 business days after each sale for a fee of 1% + VAT. During your first two weeks on prepayment, Adyen applies a temporary settlement delay, so payouts typically arrive 5 business days after the order date.

Which payment methods can our guests use?

Guests in the UK pay online with Visa, Mastercard or PayPal. At your desk, the Adyen terminal also takes contactless, Apple Pay and Google Pay.

Can Billetto connect to our website and systems?

Yes. Embed the booking widget on your own website in your own colours, and use the open Billetto API and webhooks to connect your CRM, member system or website.
